Excel Exports: Grand & Detailed Totals For Static Matrix Questions

Export Survey Results To Excel And Choose The Worksheet View That Matches Your Reporting Need

Export Survey Data to Excel

  1. In Mission Control, click Survey Data.
  2. Select the report type or single-row export you want to generate.
  3. Select Excel as the export format.
  4. Set the date range for the report.
  5. Select the data needed for your report.
  6. When you get to the Export Options step, if you've included any Static Matrix questions, you'll see some new options in the Worksheets to Include > Formatted Excel Worksheets space. 


Select Formatted Excel Worksheets

In Formatted Excel Worksheets, select the worksheet views you want included in the exported workbook.

When your export contains an applicable static matrix question, additional worksheet options are available:

  • Grand Totals
  • Detailed Totals

Depending on the export configuration, regular and transposed versions may also be available.

NOTE: Grand Totals and Detailed Totals do not appear in every survey export. They are available only when the export contains an applicable static matrix question.

If you do not need every report area, exclude unrelated sections from the export.


Choose Between Grand Totals and Detailed Totals

Use the worksheet view that matches the level of detail you need:

Grand Totals A summarized view of matrix results
Detailed Totals Matrix results broken down by individual row

TIP 1: For Program-wide & Site Data exports, use a transposed version when that layout makes the results easier to review or compare.

TIP 2: Start with Grand Totals when you need a quick summary. Use Detailed Totals when you need to investigate individual matrix rows.


Export the Workbook

  1. Select the formatted worksheets you want to include.
  2. Click Set.
  3. Click Export to Excel.
  4. Download the completed workbook.
  5. Open the Excel file.

Review the Worksheet Legend

After opening the workbook, review the worksheet legend before analyzing the results.

The legend provides context about the exported data, including:

  • Dataset name
  • Applied filters
  • Reporting date range

Use this information to confirm that the workbook matches the criteria you intended to export.

CAUTION: Verify your filters and reporting date range before relying on the exported results. Incorrect criteria can produce incomplete or unintended data.


Interpret the Grand Totals Worksheet

Use Grand Totals for a high-level summary of static matrix results.

This worksheet combines the matrix responses into an overall totals view rather than displaying each matrix row separately.

Use Grand Totals when you need to:

  • Review overall response patterns
  • Compare summarized results
  • Get a quick picture of how respondents answered

If both regular and transposed versions are available, use the layout that is easiest for your reporting task.


Interpret the Detailed Totals Worksheet

Use Detailed Totals when you need the matrix results separated by individual row.

This worksheet includes row-level matrix data along with totals, making it easier to understand how responses differ across the matrix.

Use Detailed Totals when you need to:

  • Review each matrix row separately
  • Compare responses across matrix rows
  • Analyze more granular matrix results

If both regular and transposed versions are available, use the layout that is easiest to analyze.


Understand When Totals Worksheets Are Available

Grand Totals and Detailed Totals are available only when they apply to the questions included in your export.

If the export does not contain an applicable static matrix question, these worksheet options will not appear.

Row matrix questions may display totals differently and may use the standard detailed format instead.

NOTE: The absence of Grand Totals or Detailed Totals does not mean the export is incomplete. These worksheets appear only when they apply to the survey content.


Choose the Right Worksheet

Choose your worksheet based on the information you need:

  • Use Data for individual submitted responses.
  • Use Grand Totals for a quick summary of static matrix results.
  • Use Detailed Totals for row-by-row static matrix results.
  • Use a transposed version when it provides a more useful layout for analysis.
